Who to contact

MM Mac Ltd trading as MM Property Maintenance is responsible for the personal information it receives for its business. Mac runs the business, based in Sutton-in-Ashfield, Nottinghamshire.

Use these details for any question or request about your information.

Information you provide

Depending on how you contact us, we may receive your name, telephone number, email address, town or postcode, property or job details, messages and photographs you choose to send. If you leave a review, we also receive your rating, review text, display name, optional work details and town, and your choice about publication.

Please only provide details relevant to the work. You do not have to make an enquiry, but we need sufficient contact and job information to respond and assess your request. Fields marked optional can be left blank.

How and why we use it

We use enquiry information to respond, understand the work, prepare a quotation, arrange access and appointments, carry out agreed work and maintain relevant business records.

Where you ask us for a quotation or book work for yourself, we use the information needed to take those steps or fulfil our agreement. We rely on our legitimate business interests when communicating with someone arranging work for an organisation, managing enquiries, checking reviews or protecting our website against spam. Necessary accounting and other statutory records are kept to meet legal obligations. Publishing an identifiable customer review relies on the permission given with that review.

Submitting an enquiry requests a response about that job; it does not sign you up to a general marketing mailing list.

Facebook and Instagram enquiry forms

If you complete an enquiry form on Facebook or Instagram, Meta collects your answers through its service and makes them available to MM Property Maintenance. These can include your name, phone number, email, postcode and description of the work.

Mac uses those answers to contact you about your request by telephone, email or message and discuss the next steps. Meta also handles information under its own Privacy Policy.

Website enquiries and reviews

Website enquiry details and any attached photographs are delivered to Mac's inbox through FormSubmit. That service retains submission records for up to 30 days. A separate copy of your enquiry is saved in the website's private database, and photographs are kept in private file storage, hosted by Cloudflare. This allows Mac to respond even if an email is missed. Your enquiry and photographs are not published on the website.

Website review submissions are stored privately through Cloudflare and checked by Mac. Your email address is used to check or discuss your review and is never displayed publicly. With your permission, your display name, rating, review and optional work details or town may be published after approval. You can ask Mac to remove or correct your review.

The enquiry and review systems use a temporary, scrambled network identifier to limit spam. They do not store your raw network address in their business databases or save your submitted details in browser storage.

Service providers and sharing

Information is handled by the services needed to receive, store and respond to your enquiry, including Cloudflare, FormSubmit, email providers and, when you use them, Meta and WhatsApp. Relevant job and access information may be shared with a specialist trade helping to arrange or carry out your agreed work. Information may also be disclosed where required by law.

These providers may process information internationally. Their privacy information explains their own handling and locations. Contact Mac if you want further details about the providers and transfer arrangements relevant to your enquiry.

How long information is kept

We retain information while it is needed to deal with your enquiry, manage resulting work, maintain necessary records or resolve a complaint or dispute. The period depends on whether the job is active, the records required for accounting or legal purposes, and any outstanding issues. Information should be removed or anonymised when it is no longer needed. The FormSubmit retention period stated above concerns that service's records, rather than every copy held by the business.

Your choices and rights

You can contact Mac to ask for a copy of your information, correct it or request deletion. Depending on the circumstances, you may also have rights to restrict its use or receive information in a portable form. Some records may need to be retained to meet legal obligations or resolve a claim.

You can object to use based on legitimate interests. Tell Mac which use you object to. You can also withdraw permission to publish your review at any time.

Website tracking and other services

Our public website does not currently add advertising or analytics trackers. Hosting and security services may receive technical information needed to deliver and protect the site. If you follow a link to Facebook, WhatsApp or another service, that service handles information under its own policies.
